How to arrange a meetng at your woodland

Postby Rich » Thu Aug 09, 2012 1:51 pm

Many SWOG members have offered to host meetings in their woods, this forum it to facilitate these meetings.
You could offer a simple guided walk around your wood or enlist the help of a speaker.

We suggest you advertise your meeting with a rough location and a date on the forum and only give specific information to those a book a place. Use the Private Messaging feature to firm up the details.

Your subject header should look something like this:

Meeting offered, near Eastbourne East Sussex, 23rd May 2012.

You can then give more details about your wood, possible topics and or a speaker, and even post a photo in the main body of the post. A good place to ask for speakers is you local Forestry Commission Officer, or wildlife groups and envronmental charities. But you don't need to have a speaker! It's entirely up to you!

Things to think about:

Choosing a date, weekend is usually best.
Post a general location on this forum, not specific.
Parking, what is the maximum number of cars you can cater for.
Start and finish time.
Do you welcome dogs.
What is the terrain like for those with limited mobility.
Toileting facilities?
Refreshments/lunch, bring your own, or will you provide.
Provide attendees with detailed directions, parking advice and your phone number for the day.
You might want to collect attendees phone numbers in case of unforeseen circumstances.

If you wish to attend an advertised meeting, please reply, again using the Private Messaging feature, if you find you can no longer attend, please make sure you let the hosts know in good time,so that someone else might be able to attend in your place.

Also make sure you check the forum before you leave to see if there have been any changes to the arrangements.
